What to Send Your Supplement Company: A Roofing Contractor Checklist

The quality and completeness of your supplement depends heavily on what you send us. The more documentation we have, the more aggressively we can supplement — and the faster we can turn it around. This checklist covers everything we need for a thorough Xactimate supplement on a typical roofing claim.

1. The Carrier's Initial Estimate

This is the foundation. We need the complete carrier estimate — not just the summary page, but the full line-item breakdown with totals, depreciation, and deductible. This is what we compare against to identify every missed item. If you have multiple versions of the carrier estimate (initial + any prior supplements), send all of them so we can see what's already been added.

2. Your Inspection Photos

Photos are evidence. We need clear shots of all damage, all four roof elevations, any interior damage, gutters, flashing, ridge, valleys, and any code-required items that need replacement. The more photos you have, the easier it is to justify additional scope items. Drone photos are ideal — they show the full scope without access issues. At minimum, send 20–30 photos per claim.

3. Roof Measurements

Send your EagleView, GAF QuickMeasure, or similar aerial measurement report. If you don't have an aerial report, send your hand measurements with a pitch sketch. Accurate measurements are critical for calculating the correct square footage on tear-off, felt, shingles, ridge cap, drip edge, and ice and water shield — all of which directly affect supplement value.

4. Signed Contract or Authorization

In most cases, we supplement on your behalf as your representative. Having a signed contract between you and the homeowner (or business owner) establishes your standing on the claim. It also helps if there's any question about your right to access the adjuster file.

5. Scope Notes and Observations

You were on the roof. We weren't. Tell us what you saw: extra layers, rotted decking, improper previous repairs, any pre-existing conditions that affect the current scope, special access requirements, non-standard materials. Even rough notes are helpful. The more context you give us, the more accurately we can document the scope.

6. Claim Number and Carrier Contact Info

We need the claim number, carrier name, desk adjuster name (if assigned), and contact information. This lets us address the supplement correctly and follow up with the right person if there's a question about a line item.

Optional but Helpful

If you have them, also send: local building code documentation for code upgrade items, any prior permit records, manufacturer specs for materials being replaced, and any written communication with the adjuster about disputed items. These aren't always required, but they strengthen specific supplement line items significantly.
